Is Zoho One right for a 10-person business?

Forty-plus apps for one price sounds like a lot. Here's how to tell whether it's the right fit for a small team, or overkill.

Zoho One bundles more than forty applications under a single licence. For a ten-person team, that can feel like buying a full toolbox when all you need today is a screwdriver.

We get asked this question more than any other, so here is the honest answer, including when we'd tell you not to buy it.

The short answer

If your team already pays for three or more separate tools, and someone re-keys information between them, Zoho One is usually worth a serious look. If you only need a CRM, start with Zoho CRM on its own and grow into the rest.

What you actually use

Nobody uses all forty apps. Most small businesses we work with settle on five or six day to day: CRM for customers and deals, Books for quotes and invoices, Desk for support, Projects for delivery, and Mail and Calendar. Forms, Bookings and WorkDrive often follow.

The value isn't the number of apps. It's that they all share the same customer record. A quote in Books, a support ticket in Desk and a project in Projects all point back to one customer in CRM.

Why that matters to your customers

When everything sits on one record, your customers stop repeating themselves. Whoever picks up the phone can see the last order, the open ticket and the next appointment. That is the difference people notice, long before anyone mentions software.

Signs it's a good fit

You pay for separate tools for CRM, invoicing, support or projects
The same customer details live in more than one place
Month-end means exporting and stitching spreadsheets together
You expect to grow, and don't want to re-platform in two years
You want one supplier, one login and one bill

Signs it isn't the right time

You only need a contact list and a sales pipeline
Your current tools work well and are well connected
Nobody has time to own the rollout in the next three months

Comparing the cost

Zoho One is priced per employee, and Zoho changes its pricing from time to time, so check the current figure. The fair comparison isn't Zoho One against nothing. It's Zoho One against everything you pay for today, plus the hours spent moving data between those tools.

WORTH KNOWING
A quick exercise: list every software subscription the business pays for, then list every task where someone copies information from one system into another. The second list is usually the more expensive one.

How to start without boiling the ocean

Map one process end to end, usually enquiry to invoice
Set up CRM and Books first, around that process
Move your customer data across once, cleanly
Train people on the tasks they do every day, not the whole suite
Add the next app only when the first ones are working

The part most people skip

Zoho is very capable and very configurable. That's its strength and its risk. Without a clear setup, you end up with forty apps half-used. The businesses that get real value are the ones that spend the first few weeks deciding how they want to work, then make Zoho fit that, not the other way round.

If you're weighing it up, we're happy to look at your current tools and give you a straight answer, even if that answer is "not yet".
